Your Picnic
Once we agree upon the details for your picnic, we will send you an invoice via email, and a receipt for your payment once it is received. You will get another email from us a couple days prior to your picnic to confirm all details. On the day of your picnic, we travel to your desired destination/local park and send you a pin with our exact location to your cell phone number. Please provide us with the best number to reach you during the booking process and have your phone readily available so that you can easily find your picnic and kick things off on time.
Upon booking, you must agree to exercise caution in caring for, and preserving the property of Sunday Afternoon Picnics. When we leave you to enjoy your picnic, we entrust you with the care of our property. You must remain at the agreed upon site of your picnic until we return to collect the picnic materials. You may not leave the picnic materials unattended until we return. If you need to leave your picnic before your time is up, please contact us immediately and we will return to gather our items as soon as possible.
Igloo
If you choose to book our Winter Picnic option with the igloo, you must exercise caution in caring for the igloo along with all of Sunday Afternoon Picnic’s property within the igloo. You may not smoke or light any fires within the igloo. If you have the space heater on, it is a major fire hazard to put anything directly in front of or too close to the heater - keep everything distanced, including yourselves. If you are warm and choose to open the igloo doors please turn the heater off, as otherwise it will overheat trying to warm up the outdoors. Do not, at any point, leave the igloo unattended or try to disassemble any part of it. If you cause any damage to the igloo, you will be directly responsible for fixing or replacing it.
Payment
Your payment and a signed contract must be received prior to any services provided by Sunday Afternoon Picnics. Your picnic package includes all services and add-ons described in your invoice. Any additional add-ons requested after the invoice is paid will be billed to you at cost and must be paid for before your picnic. All services contracted cannot be deducted, but additional services can be added.
Your invoice and picnic agreement is valid for 5 days after it is sent. The agreement must be signed and returned within 5 days and your payment (or deposit, if your picnic totals over $300) made in full, or we cannot guarantee your preferred date will remain available.
For your convenience, we will send you an invoice with your agreed upon total, which you can pay securely online.
Cancellation and Rescheduling
If you need to reschedule your picnic, you must do at least 48 hours prior to your scheduled picnic time. If you need to cancel or reschedule your picnic within the 48 hour window, we are unable to offer refunds due to the food we have ordered and prepared for you. Upon booking, you must provide us with a viable indoor backup location for your picnic in case of inclement weather. In the case of inclement weather, we will decide together on the day of the picnic what location is best for your event.
Inclement Weather
Upon booking, you must have a back up plan for your picnic in the case of inclement weather. We cannot cancel or reschedule your picnic due to the weather within 48 hours of your picnic date. The back up location must be within 15 miles from the City of Cincinnati. We do have waterproof picnic blankets to use if it has recently rained, but we cannot offer picnics outside if it is raining or the radar indicates rain during your picnic time. We will decide together on the day of the picnic whether to move inside if the weather isn’t cooperating.
Park Rules/Alcohol
Start times for picnics will vary based on sunset times and park rules, as most parks close at dark.
Sunday Afternoon Picnics is only responsible for services completed and provided by our company and cannot be held liable for the services of other vendors. Sunday Afternoon Picnics does not have a license to serve alcohol. If you choose to bring your own food, alcohol, or other items, you agree that Sunday Afternoon holds no liability for these items.
